Book Before You Hook: Three Advantages Of Booking A Show Before Sending Out Invites

by | Aug 2, 2021 | Blog

A children’s magic show can be the highlight of the week for both kids and adults alike. Planning a magic show, however, can be much less fun… but it doesn’t have to be. One of the most annoying things that can happen when planning an entertainment event of any kind is sending off all your invitations for a date, only to realize that the entertainer you wanted is already booked that day!

Even if you check the entertainer’s booking schedule a day in advance, there’s always the possibility that the slot you want will get booked by the time the invitations are sent out and replies are sent back. While many parents have legitimate concerns about booking an entertainer in advance, in reality, there are very few actual risks when doing so. Here are three reasons why you should consider booking an entertainer for an event in advance before sending out invites.

It Ensures You Get the Entertainer You Want

Planning an event can come with all sorts of anxieties. You have to find a day when your guests are available and the entertainer is available, all usually several weeks or even months in advance. Guests aren’t usually certain when they’ll be available so far into the future, and unexpected scheduling conflicts can be extremely annoying. For these reasons, many parents try to wait until closer to the event date before securing the entertainer.

However, entertainers also have variable schedules that change quickly, so by waiting that long, you run the risk of losing your entertainer and being forced to either reschedule the event, which is a logistical nightmare in of itself, or booking your second choice (and let’s face it, no one wants to settle for that.) By booking your entertainer in advance, you can potentially spare yourself a huge headache down the line.

Helps To Avoid Disappointment

Rescheduling or booking a different entertainer isn’t just a logistical nightmare; it also means you have to give your kids the bad news. While adults might be disappointed with a change of entertainer or event day, adults are much better equipped with dealing with that disappointment. The circumstances from a child’s point of view are a lot different. Children live in a world of a much smaller scale than adults do.

What seems like small disappointments to adults can be the end of the world for a child who has probably been thinking about nothing else other than how excited they are for the event for weeks. Children also have less experience with disappointment in general, and don’t know how to comfort themselves as well as adults. All that means that being forced to change event details can result in huge upsets and tantrums from your children, which are the last thing you as a parent needs to deal with in an already stressful situation.

Booking Times Are Flexible

While coordinating schedules between a large number of adults and children can be very stressful, it doesn’t actually have to be as stressful as you might think. There are a variety of apps and other online tools specifically designed to help friends and guests plan around each person’s availability and schedule. These tools, as well as other forms of instant communication, make planning an event a much less challenging task than it was a few years ago.

Even if there are unexpected scheduling conflicts and you’ve booked your entertainer in advance, it’s not the end of the world. Most entertainers, including myself, understand the struggles of event planning and are willing to try to accommodate guests with flexible booking times.
